Business Unit Manager’s Assistant
On behalf of our leading UK client, we are looking for a Business Unit Manager’s Assistant to join the business in Hampshire on a permanent basis.
The Business Unit Manager’s Assistant will have a key role as the main support of the Business Unit manager. Reporting to the Executive Assistant, she/he will secure a constant aligned communication and escalation to the Executive Assistant. She/he will also support the Sales & Marketing Director and the Engineering Director.
Manage and maintain Business Unit Managers, the Sales & Marketing Director and the Engineering Director schedules, including scheduling travel and conferences, making appointments, and making changes to appointments, managing an extremely active calendar of appointments.
Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner
Completes expense report of Business Unit Managers, the Sales & Marketing Director and the Engineering Director to Operating Unit and Corporate standards
Greets visitors and determines access to appropriate parties. Secures access to all sites visited by Operating Unit employees outside the Corporation.
Maintain inventory and office supplies. Anticipate office needs and evaluate new office products; place and often expedite orders when necessary
Coordinate Site Travel coordinator(s) activities
Plans, coordinates and ensures the Business Unit Manager, the Sales & Marketing Director and the Engineering Director schedules are followed and respected
Document complaints and develop an appropriate course of action. Report problems to Business Unit Managers, the Sales & Marketing Director and the Engineering Director or to the Executive Assistant when they cannot be resolved for attention
Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping the Business Unit Managers, the Sales & Marketing Director and the Engineering Director/ Executive Assistant updated.
Ensures operation of office equipment, order maintenance when necessary
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Strong interpersonal skills and the ability to build relationships and to manage conflict
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Demonstrated proactive approaches to problem-solving
Fluent in French / English.
Advanced MS Office experience
